🎬 Jira Team-Managed Space Policies — Jira Bro
Introduction
Team-managed projects revolutionized the way teams work in Jira Software by letting each team configure its own workflow without constantly depending on a central administrator. However, in medium and large organizations, this autonomy often leads to the proliferation of duplicated fields, inconsistent work phases and difficulties extracting corporate-level metrics.
To solve this friction, Atlassian has introduced Space Policies in beta: an administration feature designed to balance team autonomy with centralized data governance.
What are Space Policies and how do they work?
Located under Jira admin settings > Spaces > Policies, Space Policies let administrators restrict the creation of local elements in team-managed projects.
The tool offers three control levels:
- Global fields only: Prevents users from creating their own custom fields within the space, forcing them to choose only the global fields defined by the organization.
- Global statuses only: Prohibits the creation of new local statuses in workflows, ensuring that the work lifecycle uses the system's standard phases.
- Both global fields and statuses: Activates both restrictions simultaneously to keep data and process control homogeneous.
Deployment and assignment options
One of the main advantages of this feature is its granularity when applying it:
- Specific spaces (+ Spaces): Assign the rule only to specific projects or departments.
- Templates (+ Templates): Link restrictions to predefined templates so projects inherit the rule when created.
- Default policy (Set as default policy for all new spaces): Toggle so every new team-managed space automatically applies these restrictions from creation.
Configuration prerequisite
To use this feature in your Jira Cloud instance, you must access the Beta features panel as a Jira administrator and make sure you have two features enabled:
- Global statuses: Allows creating and managing statuses for use in team-managed spaces from the workflow editor.
- Space policies: Activates the control rules panel (requires the Global statuses feature to be enabled).
Key benefits for Jira administration
- Data quality: Eliminates indiscriminate creation of identical fields with slightly different names (for example,
Due Date,Due date,due_date). - Reporting consolidation: By sharing global statuses, dashboards and cross-project JQL queries work uniformly.
- Scalability: Facilitates organized platform growth without completely slowing down teams' operational agility.
Conclusion
Space Policies represent the middle ground many Jira administrators have been waiting for. They maintain the simplicity and agility of the team-managed spaces interface while protecting the organization's global data architecture.
